Administrative Clerk - Human Resources 20-29HRS

JOB DESCRIPTION:
Under general supervision, provides a variety of clerical and administrative support functions in support of the City’s Human Resources programs.

QUALIFICATIONS AND REQUIREMENTS:
  • High school diploma or GED, plus two (2) years of customer service experience with one (1) year of clerical experience in a human resources setting preferred.
  • Employees are required to pass the National Incident Management System (NIMS) training courses identified for their position and listed in the most recent version of the NIMS Training Guide within one (1) year of placement into this position.
  • Requires a valid Florida driver license.
  • Primarily sedentary work with regular requirements to move around the office and lift/carry up to 25 pounds, with occasional travel to other offices and vendor locations. Requires occasional standing for long periods. Requires visual inspection of documents in file folders. Requires extensive use of computers, voice and electronic communications systems.
  • This position is assigned the status of Emergency Non-Essential Personnel for the purposes of work assigned before, during, and after a disaster-related event unless otherwise agreed.

EXAMPLES OF DUTIES:
  • Provides excellent customer service to employees, applicants and the general public; greets and explains application and hiring process to applicants; answers walk-in, phone and e-mail inquiries; enters data and maintains manual and electronic filing systems; performs miscellaneous routine office tasks, to include but not limited to processing mail, preparing invoices for payment, typing correspondence, preparing documents in response to public records requests, making copies, scanning or producing documents with creative content, sending/receiving faxes, and organizing and ordering office supplies and materials. Assists with records retention and destruction as well as training and/or event set up.
  • This position may also be assigned basic payroll related tasks including pay data processing and entry. Assists and supports all Human Resources divisions as needed.
  • Serves as a member of a high performing cross-functional work team and assists with, or assumes responsibilities as needed in other areas of Human Resources.
  • If a Notary, notarizes documents upon request.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Ability to work in a highly confidential environment and exercise the utmost discretion.
  • Ability to provide excellent customer service and handle difficult situations with tact and diplomacy.
  • Ability to establish and maintain effective working relationships with employees and outside contacts.
  • Ability to physically file and retrieve information.
  • Knowledge of general human resources principles, policies and practices.
  • Knowledge of office practices, procedures and equipment related to assigned area.
  • Knowledge of manual and automated filing systems.
  • Knowledge and proficiency in the use of proper English, grammar, and spelling.
  • Skill and accuracy in performing basic business math calculations.
  • Skill in the operation of office equipment & appropriate computer hardware and software.
  • Skill in maintaining accurate and detailed records
  • Skill in working independently and adhere to established routines and practices.
